Gift Aid records that stand up when HMRC asks.
A register of declarations, every donation linked to one, small donations kept separate, what you can claim, and how long to keep each record. For small UK charities, churches and community groups.
What the rules ask
- Keep a record of every declaration, written, online or verbal, so you can show each donor in a claim made one (GOV.UK).
- Keep declarations for six years after the end of the accounting period that includes the last donation they cover (HMRC factsheet via CultureHive).
- Small donations of £30 or less in cash or contactless do not need declarations, but you must record the amounts.
